Publication instructions for the Energiaa web magazine

Energiaa is VAMK’s online magazine, which publishes common-sense articles and perspectives aimed at professional communities. You can write to the online magazine in Finnish, English and Swedish. Our goal is to share our wonderful work with the general public.

  • The writings present research and development work, project results, stakeholder cooperation and experiences from the world of education. The online magazine’s publications can also cover, for example, a current theme, present a conference or trade fair trip, or another topic based on the author’s expertise.
  • Online publications are divided into themes Humanity, Togetherness, Future, Competence, Influence, Perspectives.
Writing Instructions
  • Recommended length 400–1600 words
  • Mark the headings, subheadings and bolded introduction (headnote) clearly.
  • The writer is responsible for the finishing and the (grammatical) correctness of the text.
  • At least one of the writers has to be an employee at VAMK.
  • Please comply with the in-text citation practice for VAMK publication series. (Vamkin julkaisusarjan ohjeistuksen mukaista viittauskäytäntö).
  • The writer is responsible for making sure that the article has not been published before.
  • Attach tables and figures in a Word file and keep them simple. Tables and figures will be modified in the layout phase so that they are suitable for the publication format and platform.
  • One or more photos from the writer or from the photo bank of the layout editor can be attached to the article. Send original photos in the .jpg or .png format. The minimum resolution is 2000 px.
  • Please, submit the licence of the photo you use or permission of use.
Blog Instructions

  • The writer is responsible for making sure that the article has not been published before.
  • For accessibility, images must have an alternative text, so called alt text. The alternative text is read with a screen reader, so it must not be the same as the caption.
  • Attach tables and figures in a Word file and keep them simple. Tables and figures will be modified in the layout phase so that they are suitable for the publication format and platform.
  • One or more photos from the writer or from the photo bank of the layout editor can be attached to the article. Send original photos in the .jpg or .png format. The minimum resolution is 2000 px.

Publishing videos in VAMK

Videos related to research and expert work are also published in the categories of VAMK’s online magazine (https://energiaa.vamk.fi/). When making the video, pay attention to the instructions and criteria for the video publications to be published and plan the content of the video carefully. A proposal for an audio-visual recording (video) is sent to the publication committee at the address julkaisut@vamk.fi.

The video submitted for publication must meet the following OKM publication criteria:

  • The publication is based on the author’s research and expert work at the university.
  • The publication has not been published before.
  • At least one author has an employment relationship with VAMK.

According to OKM’s publication criteria, the following are not accepted as audiovisual publications:

  • Television or radio interviews
  • Audio-visual teaching materials made only for individual courses
  • Promotional materials

The publication proposal must include the following:

  • Name of the video
  • Authors
  • Link to the recorded video (e.g. youtube)
  • Suggestion in which online magazine category to save the video
  • Suggestion of keywords for the video: https://finto.fi/yso/fi/
  • Introductory text (lead) for the video (4-5 lines)
  • A possible image suggestion related to the video

Accessibility of videos

In terms of videos, accessibility practically means that videos must be subtitled, WCAG kriteeri 1.2.2 Tekstitys (tallennettu). Only when the video is the media equivalent of the text and marked as such, it does not need to be subtitled.

Subtitling means that the Finnish-language video has Finnish-language subtitles for the audio content that the viewer hears. In addition to speech, sounds that are important for understanding, but where the event caused by the sound is not visible, should also be subtitled. Subtitles should follow the speech heard in the video and possibly other things that can be subtitled. More information: Saavutettavasti.fi service.

Submitting a video publication to VAMK’s publication data collection

Video publications belong to publication type category I. These cannot be reported through Justus. The person in charge of VAMK’s publication data collection reports the data annually to OKM’s data collection. There is no need to make a separate report.

6.      Purpose of the Personal Data Processing

The service includes personal data in articles, in data documentation, in the data of the logged-in users and log data coolected by the service.

The data are processed to enable the implementation of the service.

 

7.      Legal Basis for Personal Data Processing

The legal bases for the processing of personal data are the following bases in accordance with the EU General Data Protection Regulation:

a)  processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party (GDPR 6 art. 1.f);

b)  processing is necessary for the performance of a contract to which the data subject is party (GDPR 6 art. 1.b).

 

The use of the register is based on the legislation pertaining to Universities of Applied Sciences.

 

8.      Data Contents of the Register

The following data is collected on the registered users (data subjects):

•Name

•Emails address

 

The service is available on  on Google  Analytics.   The following information is collected.

•Browser type /version (for example Internet Explorer 11)

•Browser language version (for example: Finnish)

•Operating system (for example Windows 10)

•Brand, type and model of equipment

•Type of dislay

•Referrer URL (previous page visited)

•Page loadings

•Clicks

•Country, region, city from which the request was sent

•Search operators

There may be personal data included in the material saved in the service, such as names of persons or photos. VAMK, Úniversity of Applied Sciences is responsible for this material as an organisation which has produced the material.

 

9.      Data Systems Used

The data is in the Word format and it is stored on VAMK’s network drive. Only the system administrator of the online magazine has an access right to the Word file.

 

10.   Regular Source of Data

Data is collected from the data subject her/himself.

 

11. Retention Period of Personal Data

The personal data collected into the register will be stored as long as and in the extent considered necessary. In addition, personal data is stored in accordance with an eventual statutory retention time.

 

12.  Regular Tranfers and Disclosure of Personal Data

Personal data stored in the register can be dsiclosed as the need arises in accordance with and as permitssible by law to those who have a legitimate right  (for example the Ministry of Education and Culture) receive data from the register.

 

13. Regular Tranfers and Disclosure of Personal Data outside EU or EEA

As a rule, personal data stored in the register will not be transferred or disclosed outside the EU and EEA.

 

14. Principles of Protection of  Personal Data

a) Manual Material

The manual materual is processed and archived in a locked and access-controlled facility.

 

b) Data Processed in Data Systems

Only persons who have a right of access because of their work have access and can use  the data in the system.

 

 

15. Rights of the Data Subject

The data subject has a right

·           to receive information on the processing of her/his personal data

·           gain access to the data

·           rectify the data

·           erase data and be forgotten (unless a legitimate reason such as exercise of official authority given to UAS)

·           restrict the processing of the data

·           transfer data from one system to another

·           object to the data processing

·           not to be subject of  a decision based on automated processing

The data subject has a right to file a complaint to the Office of Ombudsman for Data Protection if the data subject feels that EU General Data Protection Regulation are violated in the processing of her/his persional data.

Any requests regarding the implementation of rights of the data subject are addressed to the Data Protection Officer.
